Event Co-Sponsorship Request Form And Instructions


OVERVIEW

The Justice Action Center aims to support student organizations and affiliated faculty in organizing, promoting, and funding events that relate to the Center's mission. If the Center Director or Associate Director determines that an event fits this description, the Center may co-sponsor or provide other support for the event. If the Center's budget allows, the Center may donate funds, products, or services to the event. This form outlines the co-sponsorship process.

If your only request is that the Center publicize your event in This Week in JAC, you do not need to complete this form. Instead, email jac@nyls.edu with the headline for your posting and a 100–150 word description of your event by 5:00pm on the Thursday prior to the requested announcement.


CHECKLIST

For all requests:

  • Read all sections of this form to determine if your event is eligible for co-sponsorship.
  • If you feel that your event is eligible, complete the appropriate section (Section 1 for student events, Section 2 for faculty events) no later than four weeks prior to your organization's event.
  • The Center Administrator will contact you within approximately one week of your application.
  • After your event, complete and submit a reimbursement request if applicable. See Section 3 for details.

Complete this form and submit it to Alissa Kane in the Justice Action Center no later than weeks prior to your event. Alissa will contact your representative (listed below) within approximately one week. You must designate one individual as point-person, even if more than one individual in your group is working on the event.

SECTION 3: FUNDING INFORMATION

Student Events

Only faculty-initiated events are eligible for funding assistance. The Center is prohibited from providing financial assistance to student organizations, as it is the Law School's expectation that student organizations use their annual funding allocations for all activities.

Faculty Events

Funding for faculty-initiated events falls into two categories: school purchases and outside purchases.

School Purchases

It is Law School policy that events use school services for catering, marketing, and other goods and services.

For school purchases, coordinate with Alissa Kane the appropriate amount to be billed to the Center prior to the event.

Outside Vendors

Reimbursements for faculty-initiated events will only be possible for spending that was pre-approved. No ex post facto requests will be accepted. In addition, the Center can only reimburse outside vendor expenses, i.e., no funds will be provided until all purchases are completed.

In order to receive reimbursement, faculty must submit the following within one week of the event to Alissa Kane on the 9th floor of the 40 Worth building:

  • A one-page summary of all event expenses that the Center approved. The expenses should be broken down by categories that accord with Law School accounting codes. Under each category, a one-line description of each expense as well as the cost of each expense must be included
  • An original receipt for each eligible expense.
