Voice mail is a working tool that enables you to leave a message when another person is not available.  Voice mail is most effective if you remember to include the following:

  • your name;
  • a telephone number where you can be reached (include area code); and
  • the reason for your call.

Note the information or assistance you need; or if responding to a call, briefly describe the information you found.  To make the best use of voice mail and to use it most effectively, follow these guidelines:

1)  Avoid the "Call Me Back" message.
If you reach someone's voice mail, don't leave a message requesting they "call you back." Instead, describe the type of information or assistance you require.

2)  Organize your thoughts.
Always speak in a clear and organized manner (include the three points noted above).  Do not ramble.

3)  Keep your messages short.
A voice mail message longer than one minute is difficult to retain- use email instead.  Exclude unnecessary words and summarize all important information. Do not repeat yourself.

4)  Don't speak too fast or too slow.
A standard speaking voice and pace is easy to comprehend.  Speak slightly slower when leaving you name, address, and call back number.

5)  Keep the content appropriate for work.
Always remain professional with all forms of communication.

6)  For sensitive or complex topics....
Talk face-to-face or write an email or memorandum.

7)  Use the urgent delivery option with discretion.

8)  Reply promptly to voice mail messages.

How to access voice mail
There are several ways to enter voice mail within or away from the Law School.  

At the Law School:

From your telephone

Dial 2100 and enter your password or

2

Press the Message key (when the red Message Indicator Light is flashing):

A.

When you use the Handset:  It will automatically dial 2100

B.

When you use the Speakerphone: Look at the display- When you see the words: Call me back?  Select YES, then press the Blue Soft key under the word Voice Mail (it will automatically dial to 2100).

From another telephone

Dial 2100* (Star).

Enter your voice mail box number (which is also your telephone extension).

Enter your password.

When away from the Law School (using any touch tone telephone):

Dial (212) 431-2100.

During the greeting (You have reached New York Law School .....) press # (pound).

Enter your voice mail box number (which is also your telephone extension).

Enter your password.

How to enable a caller to transfer from your voice mail box to another number 

If you would like to offer a caller an option to dial a different extension than your dial zero location, include the following instructions in your greeting:

Dial star (*) and the extension to reach the particular location

For example:

Hello, you have reached George Hayes in the Office of Happy Living.  I am out of the office, but will check this voice mail box periodically.  Jeannette Warren will handle emergency requests until my return next week.  You may contact Jeannette or another employee in the Office of Well Being by dialing star (*) 3742.  Otherwise leave a brief message including your telephone number and I will return your call next week.  Thank you for calling.


To direct a caller to voice mail without ringing the extension 

1) With the caller on the line press Trans/Conf key (you will receive a new dial tone).

2) Dial 2100 then press * (star), * (star) [Not too fast!}

3) Then hang-up the receiver.  The caller will hear the desired person's greeting.


To leave a message without ringing the extension 

1) Dial 2100 then press * (star), * (star) [Not too fast!]

2) Dial the extension of the person you would like to leave the message for.

3) During the greeting press # (pound).  Note- if an extended absence greeting is set you cannot bypass it.

4) Leave your message and follow the prompts.
