After listening to a voice mail message, the system prompts you with two options:

1

to delete a message (press 7).

2

to archive a message (press 9).

Delete Option
The delete option permanently deletes a message from your voice mail box. When the message is deleted it cannot be restored.

Archive Option
The  archive option enables you to store a message that you do not have the time to review or may need to refer to at a future time.

Although it is called an archive, the word temporary best describes how you should use this feature.  It is a temporary storage space which you  must frequently clear of messages you no longer need.  Overuse of the archive feature will result in less disk storage space.  The voice mail system's data storage capacity was designed to accommodate the busy traffic of incoming new messages and a fair number of archived messages.   However, a large number of archived messages by all of the users could easily reduce the hard disk storage space and slow the operations of the  voice mail system.   

Also, each time you re-save an archived message, it will be re-stamped with a new date and time- it will not retain the original information.  If you are retaining messages for future reference, consider re-recording  them onto an audio cassette tape.  Please review your archived messages and delete the ones you do not need.
