Room Setup and Furniture

If your event requires a special room setup, please use one of the descriptions listed below. Specific setup instructions and an accurate diagram are essential parts of the event planning process.

Note: A diagram is required for room setups in the Steifel Reading Room, Wellington Center Dining Room, Conference Rooms A & B, 1st Floor Cafeteria, and Student Lounge. Please include ALL items needed on your diagram.

A copy of your final instructions and accurage diagram must be submitted to the Office of Special Events not less than 10 business days in advance of your meeting/event. Please remember that Maintenance staff schedule their duties more than a week in advance, and therefore may not be able to accommodate last-minute setup changes on the day of your event.

Room Setup Description Types:

  • Banquet Style
    • Used for breakfasts, lunches, dinners
    • Round tables are set up with 8-10 chairs per table.
  • Classroom Style
    • Used primarily when guests need a writing surface.
    • Tables and chairs are arranged in rows, facing a speakers' table and/or podium.
  • Lecture/Theater Style
    • Used for lectures, guest speakers, performances.
    • Chairs are arranged in rows facing a podium or stage.
  • Reception Style
    • Used for stand-up gatherings such as cocktail parties.
    • Open space, no furniture.
    • A few chairs are optional. Rectangular banquet tables are used for food and beverage service.
    • Optional rental: cocktail tables.
  • Square Table or Rectangular Table Style
    • Used for meetings.
    • Banquet tables set up as a square or rectangle with an opening in the center and chairs around the perimeter.
  • U or T Shape
    • Used for meetings.
    • Banquet tables set up in a U or T shape.
    • Chairs can be set up only on the outside, or inside and outside the configuration.
